Simple Image Processing Steps

Welcome

We have prepared notes on three common scenarios computer users face while processing images. The scenarios could be independent of each other but sometimes occur within the same document or presentation. SCENARIO 1: REDUCING IMAGE SIZE

You have taken or scanned large digital photos/images that you want to process and reduce to a manageable size. You may also want to transmit them online, or as an email attachment. The following simple steps have been designed to guide you through

STEPS:

  1. Open a new PowerPoint slide

  2. Choose a blank slide from the slide layout

  3. On the Main menu go to Insert =>Picture=>From File

  4. Choose the image/photo you want to insert from its location and select it. Click Insert.

  5. Resize the image/photo to the size you want. You can do this by selecting the photo and positioning the cursor at any corner to diagonally resize it. Note that, the larger the photo size, the larger the file size.

  6. Right-click the image, choose, Save as Picture from the menu.

  7. Under File name, enter the name of your file.

  8. Under Save as type, choose JPEG File Interchange Format and click Save.

  9. Repeat similar steps for all other photos/images that you want to process.

  10. If you explore the folder containing the images, you will notice that the newly saved image is smaller in size (in kilobytes) than the original. You are now ready to share by email or insert the photo into your presentations or word documents without it increasing the file size like the original.

Additional Notes:

  1. Very important. You can use this procedure within an already completed PowerPoint presentation. All you have to do is process the photo as it is within your presentation, delete the original from the current page and insert the newly reduced image in the same position. Repeat this procedure for other images within the presentation

  2. You can process grouped images the same way or by grouping them within a page. But ensure there are no blank spaces between the photos because the final grouped and reduced image will show dark spaces between the photos. To group images, open the photos to the same slide, resize and position them the way you want, press Ctrl or Shift key and use the cursor to select the images/photos. Right-click the images/photos, move to Grouping, choose to Group. You can use the same procedure to Ungroup the photos.

  3. The Save as Picture option is available in PowerPoint only in the Microsoft office suit installed on your computer.

 

SCENARIO 2:  PROCESSING STEPS IN MS WORD

You’ve managed to reduce the size of your photo from Scenario1 above. You now want to use it in Microsoft Word. If you insert, the image/photo to Word, as is, it’s a bit too inflexible to move to a position you want. You realize that the image you have inserted is automatically aligned to the absolute position, both horizontally and vertically to the page it occupies. The following simple steps have been designed to assist you work around this.

 

STEPS:

  1. Open a new Word blank document

  2. Go to Main menu Insert ->Picture->From File

  3. Choose the image/photo you want to insert from where it’s saved and select it. Click Insert.

  4. Click on the inserted photo to select it.

  5. On the Main menu, go to Format menu and choose Picture (usually the last item in the list). A pop up dialog box Format Picture in appears.

  6. From the Format Picture dialog box, click on the Layout tab.

  7. On the Wrapping style option, choose Square (which wraps the text around the image)

  8. On the Horizontal alignment, choose the type of alignment you want to use. Left, Center, Right & Other, then click ok.

  9. Notice that the image/photo becomes movable and can be placed in any position in the document.

  10. Resize the photo/image to the required size and place it in a position of your choice within the page.

  11. Save the file

  12. From File menu, scroll down to Properties. A File properties dialog box appears

  13. Choose the General tab and under it, check the size of the file. You will notice your file has significantly reduced in size and can easily be transmitted by email to other users.

  14. Repeat similar steps for all other photos/images that you want to process.

Additional Notes on the procedure above:

Sometimes the image positions itself at the top margin of the page and cannot be moved. This is a “positioning” problem and to resolve it follow these steps

  1. Click on the photo to select it. In the Format Menu, select Picture. A Format Picture dialog box appears.

  2. Select the Layout tab

  3. Select Square Wrapping Style and Centre in the Horizontal Alignment option

  4. Click Advanced option to access advanced formatting of the Picture Position and Text Wrapping.

  5. From the Picture Position tab, you have Horizontal and Vertical positions. In the Vertical section, select Alignment. The alignment is by default to the Top of the Page. Click ok.

  6. You are now ready to freely move your image around the page.

  7. Save the file

 

SCENARIO 3: PROCESSING STEPS IN MS POWERPOINT

You have created a PowerPoint Presentation. The Presentation is very big in size (in KB/MB) to an extent it occupies all the space in your flash disk or you cannot send it by email as a result of using photos and other images. Large PowerPoint’s are also slow to run when making LCD presentations and are known to jam computers leaving many speakers embarrassed. So, you must reduce it. The following simple steps have been designed to aid you scale down on the size and enable you to transmit the presentation online as an attachment.

 

STEPS:

  1. Open the original presentation

  2. Go to File->Save As. The Save As dialog box appears.

  3. Under File name, give the file a different name from the original name of the presentation.

  4. Under Save as type, change from Presentation to JPEG File Interchange Format.

  5. The confirmation dialog box such as the one below will appear

  1. Click Every Slide, option and wait.

  1. Please note the file path and Click OK. The program automatically creates a new folder (with the same name as your file) within the original folder and saves each slide as a separate JPEG image file. All your slides are saved as Slide1, 2, 3…etc as they appear in your presentation.

  2. Close the original presentation.

  3. Open a new blank presentation

  4. Go to View->Slide sorter.

  5. Copy the blank slide and Paste it repeatedly next to the first slide until you have the exact number of slides as the original presentation

  6. Revert to Normal view and to the first slide

  7. Save the new presentation by giving it a different name from the original file

  8. Go to Insert =>Picture=>From File (locate the folder containing the saved slides in step 8)

  9. Insert Slide1.jpg to the first slide, Slide2.jpg to the second slide until you exhaust all the slides. Each slide occupies its own blank new slide

  10. Inserted slides/images may not occupy the full screen like in the original presentation. Drag the image to the top left corner of the white screen and stretch it using its bottom left corner until it exactly fills the screen.

  11. In the File menu, select Properties. A dialog box appears.

  12. Select the General Tab to view the file size. You will notice a significant reduction in file size compared to the original presentation.

  13. You are now ready to send your presentation by email or disk to your colleagues

Note: This procedure slightly reduces the quality of the slides/images which only a keen observer can notice. To share original images, use the procedure described in GUIDE 1.
